Privacy Policy

Enhanced Business Systems is the trade name of EBS Software LLC, a New York limited liability company. This policy explains what information we collect through this website and the client area, how we use it, and what choices you have.

We are a small company serving New York local governments. We do not sell information about you, we do not run advertising, and we collect as little as we can.

Your accounting data stays on your equipment

This is the most important thing to understand, so it comes first.

Enhanced Fund Accounting is installed on your own computers and servers. Your general ledger, payroll records, vendor information, and every other accounting record you keep in the software live on your equipment, not ours. We do not host that data, back it up, or have routine access to it.

The exception is remote support. When you ask us for help, we connect using GoToAssist and you approve the session. During that session we can see your screen and, with your permission, control your computer to resolve the issue. We use that access only for the support request at hand. If you would prefer we not see something, close it before starting the session.

If you separately engage us for bookkeeping or data cleanup services, we will handle your data under the terms of that engagement.

Information we collect

When you visit the website. We use privacy-friendly analytics that record page views and general location at the country level. We do not use advertising cookies, cross-site trackers, or third-party analytics that build a profile of you. Our web fonts are served from our own servers rather than a third party.

When you contact us. Our contact form collects your name, email address, phone number if you provide one, your municipality, and whatever you write in the message.

When you use the client area. We collect your name, your work email address, the municipality or organization you belong to, and the content of any support requests you submit. We log sign-in times for security purposes.

When you subscribe to updates. We collect your email address and, if you provide it, your name and municipality.

How we use it

  • To answer your questions and provide support
  • To maintain your client area account and verify who you are
  • To send service notices, version updates, and compliance information relevant to your use of the software
  • To send occasional newsletters, if you have subscribed
  • To keep our own accounting and billing records
  • To keep the website and client area secure and working

We do not sell personal information. We do not share it with advertisers. We do not use it to train machine learning models.

Cookies

The client area uses a session cookie to keep you signed in. That is a strictly necessary cookie and the site does not work without it.

We do not use advertising or tracking cookies.

Service providers

We use a small number of vendors to run the business. Each has access only to what it needs.

We may add or change providers. Material changes to how information is handled will be reflected here.

We may also disclose information if required by law, or to protect our rights, safety, or property.

How long we keep things

We keep client area accounts and support history for as long as you are a client, and for a reasonable period afterward for reference and recordkeeping. Contact form submissions are kept as part of our correspondence records. Newsletter subscriptions are kept until you unsubscribe.

Business and accounting records are retained as long as required by law.

Security

We maintain administrative, technical, and physical safeguards designed to protect the information we hold, consistent with New York's data security requirements for businesses handling private information about New York residents.

No system is perfectly secure. If a breach affecting your information occurs, we will notify you as required by law.

A note on payment fraud. Requests to change where you send payment are a common form of fraud aimed at municipal accounts payable departments. We will never ask you to change our remittance information by email alone. If you receive a request like that, call us at the number on file before acting on it.

Your choices

  • Unsubscribe from newsletters using the link in any message, or by writing to us
  • Ask what we hold about you, and we will tell you
  • Correct anything inaccurate
  • Ask us to delete information we are not required to keep

A note for municipal clients

Correspondence between us may be a record subject to disclosure under New York's Freedom of Information Law on your side. That is a determination for your municipality, not for us, but it is worth keeping in mind when deciding what to include in a support request.

Children

This website and the client area are for use by adults in a professional capacity. We do not knowingly collect information from anyone under 18.

Changes

We will post any changes here and update the effective date. Material changes affecting client area users will be communicated directly.
